Why don't I see my vehicle in the Lot?

It may be that the vehicle is sitting in “Pending” inventory - the panel on the right side of the browser window. You will first need to admit the vehicle into the lot in order to see it on the inventory list.

  1. Click on the vehicle from the Pending inventory panel.
  2. Choose a pricing template
  3. Add any vehicle condition notes, if desired
  4. Click on the Admit button at the bottom and confirm the desired time.

If you don't find your vehicle in pending inventory, a Lot may not have been selected as the tow destination on the Dispatch new job entry screen. You will need to go back to the dispatch board, review closed jobs for the vehicle you wish to find, then manually enter the vehicle into the lot.

How do I add a vehicle Hold?

  1. Click on the vehicle you want to “Hold.”
  2. Click over one tab to Vehicle Status tab.
  3. Look for the cream-colored “Holds triangle (right side of horizontal line) and click it.
  4. Click green + “Add hold”
  5. Complete required information in dialog box and click on “Save”
  6. NOTE: Holds must be removed before a processing plan can be selected, payment recorded, or vehicle discharged.

What does a Hold do?

A Hold on a vehicle prevents the vehicle from being released and discharged, e.g., police requested an evidence hold.

A Hold also prevents selecting a processing plan or recording payments.

With user permissions, a vehicle can be returned to inventory (which removes the processing plan end date and recalculates storage pricing based on current date).

How do I Get Vehicles into a Lot?

Go to Lot Management:

There are two ways to get vehicles into a Lot.
  1. Choose a lot as a destination from the Dispatch Screen, or
  2. Enter vehicles manually into the lot.

  1. To accept vehicles into the lot, look for the vehicle under “Pending” on the right side of the browser. Click on a vehicle. To enter vehicles manually, click on the +New Job button on the right above the Inventory pane. Note the 4 yellow areas are required to save a new job.
  2. Choose an account code/name on the left, and a “Bill 1st Invoice to:” on the right.
  3. Enter Customer info and VIN number (bottom left) and click the “Check VIN Status” button, which will populate the vehicle details fields. (optional)
  4. For state or local Police calls, click on the arrow next to Agency info… to enter any relevant information in the fields available.(optional)
  5. Be sure to select a pricing template and choose the correct Impound Lot if you have more than one.
  6. SCROLL down to the bottom of the page and click the Save button to SAVE the job and enter the vehicle into the Pending Inventory (see slide out pane on the right for vehicle…may need to wait a couple of seconds and/or refresh your screen).
