Release to Customer

Vehicle Pricing tab prerequisites

  • A user must have validated the correct storage pricing end time and selected Price for processing. This will allow for correct calculation of invoices.

  • A user must have selected the Release to owner processing plan

  • In this state, invoices will have been calculated, so payments in the correct amounts can be collected.

Vehicle Processing tab

Status

  • Given the job shown below:
    • The total of both the tow and storage are $938.52.
    • In this scenario, someone has already paid $102.12, so $836.40 is the balance due.
    • Both Release and Release and discharge actions are available to the user.

Notes

  • The vehicle must be released to an interested party.
  • Invoices do NOT have to be paid to release. However, the user will be prompted to confirm this condition.
  • To get the vehicle off the active inventory list, it will eventually have to be discharged after being released to owner.

Process

  • By clicking the Release button, the user chooses to only release the vehicle, leaving discharge to another user (e.g., a user at a lot gate that verifies the vehicle can be discharged). The vehicle will remain on the active inventory list.
  • By clicking the Release and discharge button, the user chooses to remove the vehicle from active inventory, whether or not sufficient payment is recorded.
  • In the Release to… box, either select an existing interested party or click the Add button to add a new interested party

  • Adding a new interested party:

  • If adding a new interested party, after clicking the Save, the interested party will now be available for selection in the Release to.. Interested party dropdown box.

  • Using the Process payment button, collect as many different kinds of payment as are necessary to finish the transaction.

  • With each recorded payment, the invoice balance due and the payments list will be updated:

  • When the user is satisfied that sufficient payment has been collected (remember that the vehicle can be released and discharged with open invoices), the user can click either Release or Release and discharge. As shown below, if the interested party is not selected, error messages will be displayed:

  • If the user is choosing to release without sufficient payment, the user will be asked to confirm:

  • If the user chose to only release, the vehicle will still show up on the active inventory list:
    • Status will be Ready for discharge
    • The Discharge button will be available to the next user for one-click discharge after verification

Exceptions

  • If the company has a owner override code configured, and a user knows the owner override code, the user can undischarge and unrelease a vehicle. This would be useful in situations such as:
    • After discharge, management determines that the invoice was priced incorrectly. Pricing on a storage job CANNOT be changed after discharge, so the vehicle would have to be undischarged and unreleased, at least temporarily, to modify pricing and invoice totals.

Process

  • Find the desired job in inventory using the appropriate filters. For example, we want to undischarge and unrelease job ID 3910453, as shown below:

  • Click on the job, and click on the Vehicle Processing tab, The user will see an Undischarge from lot button:

  • Click the Undischarge from lot button, and the user will prompted to confirm that undischarge is desired.
  • If the user confirms, a dialog will prompt the user to optionally enter a note into the job history.
  • If the user clicks OK, the user will be prompted to enter the owner override code:

  • If the user enters an incorrect owner override code, an error dialog like this will be shown:

  • If the user enters the correct code, a dialog indicating success will be displayed, and the processing screen will be updated to show the available action buttons. In the case of an undischarge, the user will have the option to again discharge the vehicle, or move backwards in the process by unreleasing the vehicle. An unreleased vehicle will allow the user to modify pricing.

  • The unrelease process works much the same as undischarging.
  • Click the Unrelease from owner button, and the user will prompted to confirm that unrelease is desired.
  • If the user confirms, a dialog will prompt the user to optionally enter a note into the job history.
  • If the user clicks OK, the user will be prompted to enter the owner override code.
  • If the user enters the correct code, a dialog indicating success will be displayed, and the processing screen will be updated to show the available action buttons. In the case of an unrelease, the user will have the option to again release (and discharge) the vehicle.

  • The Vehicle Pricing tab will now allow pricing, and the user can now change the processing plan, return to inventory, etc. These actions do NOT require an owner override.
